  • Manage packing, sealing and sterilisation of materials and documents
  • Manage timely transfer of apheresis material, raw materials, consumables to the applicable clean room and manage timely final product transfer
  • Manage inventory counts, preparation of internal order
  • Be present at the daily start of shift operations meetings and the daily wrap up production meetings
  • Act as a SPOC to the logistics warehouse for the material availability in the supporting production areas.
  • Manage inventory in the WIP and storage of cleaning agents.
  • Communicates clearly with the Supervisor and Operations Technical Clean Room Lead to highlight on clean room status/material transfer status or any items related to safety, quality and efficiency

Description

Key Responsibilities:

  • Billing Preparation & Adjustments: Assist in preparing bills by verifying client data, calculating billable amounts, and performing necessary adjustments (e.g., splitting, transferring, or writing off entries).
  • Invoice Management: Make minor amendments to finalized invoices, issue credit notes, and maintain updated billing data as required.
  • Internal Billing Operations: Support the legal team by allocating time across fee earners to maintain balanced recovery rates, issuing zero invoices for internal adjustments, and managing entries against advance fees.
  • Reporting & Documentation: Generate and analyze billing reports, assist with audits by providing documentation, and manage the timely distribution of invoices and financial reports.
  • Payment & Collections Support: Assist in the credit collection process, resolve payment issues, and respond to billing inquiries from team members and clients.
  • Collaboration & Continuous Improvement: Work closely with the shared services team and other offices for multi-payer cases, contribute to billing process improvements, and keep onboarding materials updated.
  • Team Support & Compliance: Support colleagues with daily tasks and development, ensuring all billing practices meet firm standards and guidelines.

Based in Brussels, the IS Support Specialist is a second level support role with the responsibility of providing technical support to customers and operational and administrative support for IT functions. 

Your main responsibilities will include:

  • Providing world class customer service to their lawyers and office personnel.
  • Execute the effective and timely delivery of IT services.
  • Interact effectively with all customer constituencies.
  • Maintain the operational availability of all computer related equipment and IT resources including laptops, desktops, printers, servers, data communication equipment, network infrastructure, telephone equipment and audio-visual systems.
  • Deploy computer and related equipment in a timely fashion to meet the day to day operational requirements.
  • Responsible for setting up, installing, operating, testing and troubleshooting audio and visual equipment, including setting up equipment used to enhance live events, such as laptops, projectors, screens and microphones.
  • Respond to conference room attendee technology requests and needs, and troubleshoots problems utilizing standard troubleshooting tools.
  • Perform effectively as a second level technical resource to resolve customer problems and provide technical leadership to other local IT resources.
  • Perform, maintain and adhere to Firm-wide and departmental policies, standards, operational guidelines, and administrative procedures relating to IT function.
  • Encourage and promote team work between local, regional, and Global Services IT resources.
  • Promote and maintain the effective utilization of Firm provided software applications by internal customer constituencies.
  • Participate as an active team member on IT projects to which assigned.
