The ideal candidate will play a crucial role in the planning, organization, and execution of conferences and events.This position requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.The Conference Coordinator will work closely with various stakeholders to ensure the seamless delivery of high-quality conferences that meet the objectives and expectations of our clients.

  • Meeting & Event Coordination:

o Oversee end-to-end quality of meetings and events, ensuring seamless execution.

o Coordinate various elements such as property management, contracts negotiation, personnel planning, and orders placement for a smooth event experience.

o Plan and supervise deliveries for events, providing guidance on the day of the event.

  • Client and Supplier Relationship Management:

o Act as the Single Point of Contact (SPOC) for both suppliers and clients, ensuring their needs are met.

o Gather feedback and identify areas for improvement, fostering long-term client relationships for sustainable growth.

  • Operational Efficiency and Best Practices:

o Investigate and develop best practices for daily business operations, liaising with IT, Marketing, and other departments.

o Optimize the current working processes, including evaluating and potentially transitioning to new systems for improved efficiency.

o Focus on improving customer service accessibility and clarity, addressing issues related to communication channels and timeliness.

  • Sales Management:

o Retain and expand the current client base through effective relationship management.

o Actively attract new clients, with a particular emphasis on networking at events and targeting congresses for full venue bookings.

o Assist your manager in negotiating and renegotiating partner contracts, ensuring mutually beneficial terms by providing the correct input

  • Financial Oversight:

o Set and strive to achieve sales targets, constantly monitoring and adjusting strategies to meet goals.

o Report on your own target & team target

o Contribute to the creation of financial forecasts

o Responsible for meticulous invoicing follow-up and sending, ensuring seamless financial processes and client satisfaction

As a personal assistant to a partner and/or a number of lawyers, you will have many responsibilities, including diary management, handling of correspondence both internally and externally, preparing presentations, answering phone calls and taking messages.

Our client is an international law firm based in Brussels.Offices are reachable by public transports.

Description

  • Apply excellent diary management skills to deal with,often complex, travel arrangements.Much of this work will include international travel and hotel booking,making client meeting arrangements and invoicing travel expenses.
  • Organising, coordinating and arranging meetings for clients and lawyers by sending out meeting requests,liaising with parties involved and coping with ad hoc client and networking events such as breakfast/lunch meetings; conferences etc.
  • Administration of all files (paper and electronic).Ensuring that all internal and external correspondence, original documents and notes are filed.
  • Extensive email management, including filing all client or department related emails as appropriate and dealing with queries in lawyer's absence, including corresponding with clients, other lawyers and agencies.
  • Billing: assist in production of invoices, this includes various tasks; collating information, checking drafts,liaising with partner, associates and billing team to ensure the invoices are dispatched correctly and on time.
  • Other tasks: Providing ad hoc assistance to visiting partners/senior associates when required; updating client contacts, client lists and other mailing lists using internal global systems; occasional exterior missions (to agencies,clients,…).
