One of our clients, a dynamic consultancy providing strategic advice, is seeking a Personal Assistant and Office Coordinator for its Brussels office.This role is ideal for a professional with strong organizational and interpersonal skills who thrives in an international, fast-paced environment.The office has grown significantly since its establishment in 2017 and now hosts a diverse team of 15 professionals.The team works collaboratively with colleagues across multiple global offices in a vibrant, sociable workspace.

Key Responsibilities as Personal Assistant and Office Coordinator:

  • Agenda Management: Provide dedicated support to the Director, managing his busy agenda and travel arrangements.
  • Daily Operations: Oversee office supplies, manage relationships with suppliers, and handle operational needs, including snack and fruit refills.
  • Expense Management: Upload expense notes using the designated system.
  • Event Coordination: Plan and host office events such as lunches, breakfasts, and birthday celebrations.
  • Budget Oversight: Coordinate catering and manage budgets for various events.
  • Brussels Go-To: Serve as the main point of contact for hosting and organizing external events.
  • VIP Representation: Interact professionally with senior clients and VIPs, representing the Brussels office with poise.
  • Policy Awareness: Stay informed about employment policies and ensure relevant updates are shared with stakeholders.
  • Foster a collaborative and engaging office environment by supporting social initiatives and keeping the team motivated.

As an Executive Assistant, you will be a key support for the C-level team, ensuring the smooth operation of their daily activities and assisting with a variety of creative and administrative tasks, including:

  • Agenda & Travel Management: Organizing schedules and travel arrangements, ensuring everything is in place for smooth and efficient operations.
  • Office Management: Overseeing the day-to-day office activities and ensuring the team has all the resources they need to succeed.
  • Event & Meeting Coordination: Organizing creative meetings, team events, and client presentations, both locally and internationally.
  • Administrative Support: Preparing reports, presentations, managing emails and calls.
  • Project Coordination: Assisting in the planning and coordination of creative projects, ensuring timelines and deliverables are met.
