Track and update staff accommodation arrangements to ensure all needs are met Coordinate and follow up on catering orders (excluding specific events), confirming guest numbers, menu details, etc. Organize daily onsite meetings to ensure smooth execution and strong supplier collaboration Organize major social events, such as the Welcome Reception and Networking Dinner, by liaising with the local host, collecting necessary reports, verifying attendance, and providing onsite support as needed Assist the registration team by verifying and processing registrations, handling invoicing, and responding to attendee inquiries Perform various support tasks for the Event Operations Unit to ensure the successful implementation of the Hamburg 2025 Summit Other Duties:. Support the organization of the 2025 staff retreat in Brussels by following up on contracts, managing registrations, and providing onsite assistance Conduct research and explore options for the 2026 staff retreat and outings to support event planning Contribute to the planning and execution of Board Meetings by working closely with the local host and Event Operations colleagues to ensure smooth organization Provide comprehensive support to the Event Operations Unit by assisting with various tasks related to event planning, logistics, and coordination to ensure seamless execution of ongoing and upcoming events.

Assist in the coordination of the project management organization and processes, utilizing Monday.com as the primary project management tool Provide support to the Head of Project Management to streamline project workflows Help coordinate the activities of the strategy and transformation department, ensuring effective communication and smooth operation Serve as the main point of contact for staff regarding project management processes and tools Oversee the submission and organization of project files and initiatives Offer guidance and assistance to colleagues regarding the usage of Monday.com for project management-related tasks Manage the administrative aspects of the projects board, including meeting scheduling, sending invitations, distributing agendas and decisions, and preparing meeting minutes Provide administrative support to the strategy and transformation department, including organizing department, member, and partner meetings Coordinate travel arrangements and manage files as part of the department's daily operations Oversee administrative management for a group of committee chairs, including scheduling meetings, distributing agendas, and preparing meeting minutes Coordinate the administrative aspects of project management processes across teams Ensure the timely and efficient organization of meetings and events Assist in the management of the strategy and transformation department’s activities Demonstrate initiative and flexibility in responding to changing priorities within the team and organization Support the planning and execution of on-site events, including the ability to travel and manage tight deadlines when required  .
